Need It? Rent It.

It's easy to become overwhelmed in this business, isn't it? Sometimes we talk ourselves out of trying something because we don't have this, or we don't have that, or it costs too much to buy one of those!

That's why renting items of all types can be incredibly valuable to adding to the "Wow!" factor of your meeting or convention. But, just because it's usually cheaper to rent than to buy items, it's still important to factor in the costs of rentals when structuring your meeting or convention budget. Rentals can often make up a full one-third of the total expense of your event.

So, to be sure you make the best rental decision and get the most out of your rentals, use the following five tips:

#1: Deal with a reputable supplier who can meet your needs. Make sure you are getting quality merchandise, select what you need and make sure those items will be available in the quantities you need at the time of your event. Take the time to look at the range of possibilities and prices that supplier has available. You must have a clear idea of your priorities. Where do you need to spend your money and where you can hold back a bit?

#2: Figure out exactly what you need. There are many extras that you might not think of. For example, if you are serving a meal, be sure you consult the food and beverage providers to determine specifically what's needed for rental supplies. You will, of course, have to determine a head count and order accordingly. But, have extra table settings available just in case additional guests arrive or china and glassware are broken.

#3: Get a contract and read the fine print (BEFORE you sign). Know exactly what items you have ordered, the amount you are paying for each individual items and what services are provided by the rental company. Be sure you completely understand their policies on ALL of their charges, deposits, payment schedules and breakage fees.

#4: Order early and arrange for early delivery. You have a better chance of actually getting what you want to rent if you order well in advance of your event (especially during heavy convention or meeting times in your area).

If possible, have the rental items delivered at least one day in advance so that you can check for chips, cracks and/or proper functioning of all equipment. Don't forget to take a complete inventory (in writing ' yourself!) of the items when they arrive.

#5: Arrange for setup and breakdown. Some rental companies will do set-up and clean-up for you ' but not ALL! You need to know this so you can plan accordingly! Be sure to specify when you need the merchandise removed (if breakdown is NOT included). Staff at your site will need to know, and you'll need to have the rental items ready for pick-up.

Take advantage of what rentals can add to your event. Do something you never thought possible ' by renting just what you need to do it! It IS possible with rentals! Use these five simple tips as another way to help your event go from good to outstanding!
